Log contact with a donor

Keep a record of every call, meeting, and email with a donor — alongside the receipts Together sends and the donations they make — all on one timeline.

The contact log lives on each donor's Activity tab. It's where you record the human side of the relationship: the phone call you made, the coffee you had, the letter you posted. Together weaves your entries together with the receipt and payment emails it sends, and the donations the donor makes, into a single timeline so you can see the whole history at a glance.

Before you start

You need ADMIN or EDITOR role. Viewers can read the Activity timeline but can't add to it.

Log a contact

  1. Open a donor from Donors. The Activity tab is shown first.
  2. Click Log contact.
  3. Choose the method — phone call, meeting, email, letter, SMS, or other.
  4. Set when it happened. It defaults to now; back-date it for something that happened last week.
  5. Add notes — what was discussed, what was agreed.
  6. Optionally set a follow-up date if you want a reminder to come back to this donor.
  7. Click Log contact. It appears at the top of the timeline straight away.

Read the timeline

The Activity timeline shows everything that's happened with the donor, newest first, with the type of activity leading each row and the timestamp on the right:

Use the filter pills (All, Contacts, Emails) to focus the communication you've logged, and the search box to find an entry by its text. Donations and recommendation-set gifts have their own tabs when you want to dig into those in full.

Follow-ups

When you set a follow-up date on a contact, it surfaces in two places so it doesn't get lost:

When you've done it, click the tick to mark the follow-up complete and it drops off both lists. The contact entry itself stays on the timeline.

Editing and deleting

You can edit or delete a contact you recorded. Administrators can edit or delete anyone's. Deleting hides the entry from the timeline — it's removed from view, not the kind of thing you can undo from the screen, so delete when you mean it. The emails and donations on the timeline are records of what actually happened and can't be edited here.
